Pequot Library Financial Manager
The Financial Manager reports to the Executive Director and organizes and carries out the financial activities of the Library. The Financial Manager is in charge of the Library’s bookkeeping and maintains its financial records, including annual budget, fund raising efforts, payroll accounting, custody of funds, supply purchasing and inventory control tasks to maintain the efficient operation of the Library.
Responsibilities
- Develops and maintains general ledger detail and other accounting functions such as invoice payments, journal entries, account reconciliation’s, special reports, pension fund contributions
- Receives and deposits all income and Library funds in authorized accounts.
- Works with development office to reconcile with RaisersEdge database.
- Manages, analyzes, and monitors all Library income, expenses, and transfers utilizing automated accounting system.
- Serves as liaison to auditor.
- Provides analysis and reports of current financial condition of the Library on a monthly basis or as needed for administration and auditors.
- Prepares payroll and payroll reports and records, including federal, state and local tax withholding, health and pension benefits.
- Keeps track of and orders library and office supplies. Monitors all financial aspects of purchasing, receiving, supply and equipment inventory of said supplies.
- In cooperation with Executive Director and Head Librarian, prepares the annual operating, capital and special fund budgets for approval by the Board of Trustees.
- Works with Executive Director and other staff in preparing specifications and bidding documents for purchases and sales.
- Supervises the Library’s property, liability and fiduciary insurance programs.
- Maintains backups for server.
A part-time permanent position. Considerable experience, and skill in working with Quick books and the standard range of Microsoft products such as Word, Outlook, and Excel required. Front Desk Staff - Multiple Positions Available
Part-time position to work at the Front Desk at Pequot Library in Southport, CT. Pequot Library is a bustling cultural center bringing literature, music, art, and education to the life of the community. The Front Desk staff is the primary contact with the public, and their warmth and helpfulness is an essential part of what makes Pequot Library such a unique and valued institution.
Typical Duties:
- Works at the Front Desk, including weekend hours.
- Checks books in and out, processes holds, overdues, etc.; empties book drop on Sundays.
- Registers patrons, updates patron records and collects fines and fees for overdue and damaged items.
- Monitors public use of library facilities and assists patrons in location of library materials and equipment.
- Answers informational and basic reference questions; directs other questions to senior Librarians.
- Responds to telephone inquiries about library programs and services.
- Responsible for Reading Room displays as well as shelving materials in the Reading Room and when library pages are absent.
- Performs other library tasks as assigned.
Desired Knowledge, Skills and Abilities:
- Bachelor's Degree and some library experience preferred.
- Knowledge of current/popular books for Readers’ Advisory.
- Ability to communicate effectively and courteously.
- Ability and desire to serve the public of all ages.
- Ability to work as a team member.
Successful candidate must be outgoing, well-read, well-organized, and have a strong attention to detail. College degree and library experience preferred. Knowledge of SIRSI/Dynix Workflows and MS Windows and its applications, helpful. Saturdays, Sundays and occasional evenings required. Part-time position to work in Technical Services at Pequot Library in Southport, CT with occasional Circulation Desk hours. The Circulation Desk staff is the primary contact with the public, and their warmth and helpfulness is an essential part of what makes Pequot Library such a unique and valued institution.
Typical Duties:

Orders all library materials using B&T Link, direct phone calls to vendors and typed purchase orders. Files confirmation slips.

Unpacks, receives and routes all library materials.

Withdraws library materials: deletes titles from data base and prepares items for recycling when appropriate.

Processes all adult and juvenile fiction, non-fiction and audio-visual materials. Types all spine labels. Applies labels, bookplates and stickers to library materials as necessary.

Processes all book discussion titles and summer reading books.

Coordinates the covering and participates in the mending of all library materials (print & nonprint).

Attaches to bibliographic records when needed.

Works in other library departments when assigned; regular circulation desk hours.

Performs duties in a climate-controlled environment. Routinely exposed to computer screen. Required to lift/push medium to heavy weights, e.g. cartons of books or book carts filled with library materials.

Performs other library tasks as assigned.
Desired Knowledge, Skills and Abilities:

High school graduate plus two years of appropriate formal post secondary school courses or the equivalent in practical experience.

Proficiency in alpha and numeric data entry and other computer applications.

Ability to communicate effectively with vendors, co-workers and patrons.

Ability to work as a team member.

- Organizing and shelving books according to the Dewey Decimal system.
- Reading the shelves to be sure everything is in order.
- Assisting patrons in locating library materials.
- Answering basic library questions or referring patrons to Senior Library Staff.
- Book processing including placing barcodes, etc. in new books and covering books.
- Helping Senior Library Staff in other activities as needed, such as Children’s and Adult programming.
